About the Position
Glatfelter Insurance Group is seeking a Compliance and Licensing Specialist who will complete licensing tasks for sub-producer network, GIG associates and entities such as tracking licenses, appointments and continuing education through the use of pre-packaged software. Communicates with Departments of Insurance to resolve questions or issues related to associate or entity licensing needs or concerns.
This position is required to be onsite at our Leader Heights, York PA office.
Key Responsibilities
- Complete licensing tasks for sub-producer network, GIG associates and entities.
- Maintain GIG sub-producer database(s) and licensing files within territory.
- Maintain Regional Director specific needs and responsibilities as they arise.
- Assist in the Licensing generated broker resets by being a point of contact between the broker and underwriting.
- Track licenses, appointments and continuing education through the use of pre-packaged software.
- Develop a thorough understanding of state license processing within assigned state territories and related Departments of Insurance.
- Communicate with Departments of Insurance to resolve questions or issues related to associate or entity licensing needs or concerns.
- Track, update and maintain associate continuing education through various vendor software.
- Generate and review quarterly reports to determine pending license renewals of GIG associates and entities.
- Create and distribute license status reports to associates on quarterly basis and upon request.
- Generate and mail standard monthly sub-producer information request merge letters and track / process responses.
- Complete and submit specialty entity license renewal applications and coordinate submissions with carrier(s) as needed.
- Prepare checks for payment of licensing fees and vendor invoices.
- Determine when carrier appointments are required and facilitate appointment process. Responsible for on-boarding of sub-producers within assigned territory.
- Request, review and confirm that sub-producer licensing documents are correct and current prior to adding/activating producer in producer network database.
- Update and maintain computer broker network database and related licensing applications as needed and upon receipt of Broker Factfinder (BFF ticket) submissions to ensure data integrity and consistency between systems.
- Submit CE credits on behalf of associates with designations.
- Manage associate licensing within assigned territory by advising associate of processes and needs, assisting with completion of proper forms, providing direction on fingerprinting process, gathering supporting documents and forwarding to appropriate Depts. Of Insurance.
- Facilitate and track Adjuster licensing and register adjusters for tests.
- Maintain state specific territory with more developed states including additional handling.
- Track, update and maintain all licensing and appointment information (housed in vendor software, databases and files) related to GIG associates, entities and sub-producers.
- Counsel associates regarding continuing education needs as related to licensing.
- Advise associates on ever changing CE requirements, make recommendations on obtaining licenses and meeting compliance demands.
- Address issues with licensing such as but not limited to, lost licenses, outstanding or late CE credits, reinstatements, and explore and implement solutions to resolve.
- Work independently to determine best method to secure license and CE credit hours for associates.
- Analyze changes in state laws and regulations and their impact on associate, entity and sub-producer license needs.
What We’re Looking For
- High school diploma or equivalent.
- Must pass SILA Associate designation within 2 years or other similar training course as approved.
- A minimum of three years (3) working in an office environment.
- A minimum two (2) years working in the insurance field or other similar industry.
- Proficiency with Microsoft Office applications.
- The ability to master new software applications quickly. Experience with NIPR, broker onboarding or database systems.
- Working knowledge of equipment and machines normally found in a modern office; including but not limited to copiers, calculators, fax and digital scanners.
- Ability to speak and write in a grammatically correct, understandable manner in order to process assigned correspondence and effectively communicate with a wide variety of individuals both internally and externally.
- Ability to work independently and to cope in a fast-paced environment with frequent interruptions while maintaining a high level of professionalism and concentration to handle simultaneous tasks efficiently.
- Ability to exercise discretion and independent judgment on issues within scope of authority.
